Centre Services Manager / Admin Manager

Permanent·Full time·Emerald, Central Highlands QLD

$75,000–$85,000 per year

This is much more than a traditional administration role.

As Centre Services Manager / Admin Manager, you’ll work closely with our Centre Director and play an important role in the leadership support structure of First5Years Emerald.

You’ll take ownership of the organisation, systems and follow-through that help our centre run well, while also becoming a familiar and trusted point of contact for our families and team.

We’re looking for someone who loves creating order, enjoys helping people, notices the things others miss and gets real satisfaction from keeping a team organised and on track.

The opportunity

You’ll work closely with the Centre Director every day, helping create the organisation and follow-through around the people, family, operational and administrative priorities of the centre.

A short daily stand-up keeps you both aligned on staffing, family support, accounts and CCS, maintenance, compliance, upcoming deadlines, meetings and the key priorities for the day.

A significant part of the role is also providing Executive PA-style support to the Centre Director. You’ll help manage the calendar, organise meetings, track commitments, maintain action lists and make sure important follow-ups don’t disappear into the busyness of the day.

You won’t necessarily make every decision. You will, however, play a key role in making sure things are organised, followed up and brought to completion.

What you’ll be doing

  • Family accounts, billing, CCS and debtors
  • Centre bookkeeping and Xero administration
  • Enrolments, bookings, waitlists and occupancy
  • Family administration and enquiries
  • Rostering and staffing administration
  • Staff records, onboarding and compliance administration
  • Contractors, maintenance and suppliers
  • Centre systems, registers and documentation
  • Medication management plan administration
  • Kindy and Inclusion Support funding administration
  • Grants and funding records
  • Leadership meeting coordination and follow-up
  • Reporting and governance administration
  • Centre Director diary and executive support
  • General centre administration and events

Experience

Do I need early learning experience?

Early learning administration experience would be valuable, but it isn’t essential.

We’d also love to hear from experienced Executive Assistants, Office Managers, Practice Managers, Business Administrators, Administration Managers, Finance or Accounts Administrators, and school or education administrators.

If you’re highly organised, capable, great with people and quick to learn new systems, your experience may transfer beautifully into our world.

Hours and flexibility

Full time, with room for a conversation

This is a full-time role.

First5Years Emerald is where First5Years began: a centre for children from birth to six years in the Central Highlands, open 6:30am to 6:00pm Monday to Friday. Six rooms, an approved Queensland Kindergarten program and scratch-made meals sit alongside a playscape built for real, risky play. It is a busy centre, and it runs on the care and organisation of the people behind it.
